Purpose
The Digital Policy of LBSITW aims to promote the effective, responsible, and secure use of digital technologies in teaching, learning, and administration. The policy encourages digitization, transparency, and efficiency across all institutional activities, supporting academic quality and operational excellence.
Scope
This policy applies to all faculty members, students, and administrative staff who make use of the institution’s digital systems and infrastructure, including:
- Academic management platform: ETLAB
- Administrative and accounting software: LOGICS
- Institutional email and online communication systems
- Computer systems, laboratories, and licensed software
- The official website and approved digital platforms
Objectives
- To integrate digital tools into teaching, learning, and evaluation.
- To ensure transparent and accurate maintenance of academic and administrative data.
- To promote paperless and efficient office practices.
- To safeguard institutional data and uphold confidentiality.
- To foster responsible digital usage and cybersecurity awareness among stakeholders.
Digital Infrastructure and Access
- The institute shall provide reliable internet and Wi-Fi connectivity across academic and administrative areas.
- ETLAB shall be used for recording attendance, internal marks, and course-related details.
- LOGICS shall be used for administrative and accounting functions.
- Maintenance of computers and networks shall be managed by designated technical staff under the supervision of respective departments.
- Only authorized and licensed software shall be used on institutional systems.
Academic Digitization
- Faculty shall update attendance, internal marks, and course data promptly in ETLAB.
- Course materials, presentations, and laboratory manuals shall be maintained in digital format.
- Department offices shall retain digital copies of academic reports, course files, and student records.
- Online assessment tools and feedback mechanisms shall be encouraged to enhance learning outcomes.
Administrative Digitization
- Routine administrative tasks including payroll, accounting, and office records shall be handled using LOGICS.
- Circulars, official notices, and internal communications shall preferably be issued through institutional email.
- Digital archiving of official documents and reports shall be implemented with access control.
- The use of paper-based communication shall be minimized wherever feasible.
Data Security and Privacy
- Users shall protect their institutional credentials and access data responsibly.
- Regular backups of critical academic and administrative data shall be maintained.
- Access to institutional data shall be restricted to authorized personnel only.
- Confidential or sensitive data shall not be disclosed without proper authorization.
- The institution shall comply with relevant provisions of the Information Technology Act, 2000 and related data protection standards.
Digital Ethics and Cyber Safety
- All users must adhere to ethical online behavior and maintain academic integrity.
- Unauthorized access, plagiarism, or misuse of digital resources is strictly prohibited.
- Faculty shall guide students in responsible use of digital platforms and social media.
- Awareness sessions on cybersecurity, data protection, and digital best practices shall be conducted periodically.
Website and Online Communication
- The official website of LBSITW shall serve as the authentic source of institutional information.
- The Website Committee shall be responsible for managing content updates, ensuring accuracy, and maintaining accessibility and compliance with institutional standards.
- The Website Committee shall function under the direction of the Principal.
- Official social media pages or online announcements shall be created and managed only with prior approval from the Principal.
- All digital communication shall maintain professionalism and institutional integrity.
Roles and Responsibilities
Principal:
- Provides overall supervision and ensures the effective implementation of the Digital Policy across all academic and administrative functions.
- Monitors the integration of digital platforms such as ETLAB and LOGICS into institutional workflows.
- Authorizes the formation and functioning of committees related to digital operations, including the Website Committee.
- Ensures that adequate infrastructure, resources, and training are made available to support digital initiatives.
- Reviews compliance reports and oversees the periodic evaluation of digital systems.
    Heads of Departments (HoDs):
- Supervise the proper utilization of ETLAB for course planning, attendance, internal marks, and assessment records within their departments.
- Ensure that all faculty members maintain updated and accurate digital documentation of course materials, lab manuals, and student performance.
- Verify that departmental academic reports and data are securely stored and periodically backed up.
- Coordinate with designated staff and committees for any technical support or data management requirements.
- Promote awareness among faculty and students regarding responsible and secure use of institutional digital resources.
 Designated Staff (ETLAB / LOGICS):
- Serve as technical coordinators for the operation and maintenance of ETLAB and LOGICS systems.
- Provide timely assistance to faculty and administrative staff for data entry, error resolution, and report generation.
- Ensure smooth functioning of software platforms through periodic checks, updates, and data validation.
- Maintain confidentiality and accuracy of academic and administrative data handled through these systems.
- Report any technical or operational issues to the concerned HoD or the Principal for prompt resolution.
Website Committee:
- Responsible for updating, verifying, and maintaining the accuracy of all content published on the official LBSITW website.
- Coordinate with departments and offices to ensure timely publication of academic schedules, announcements, achievements, and events.
- Maintain uniformity and professionalism in design, language, and content across all web pages.
- Ensure that the website complies with accessibility standards and represents authentic institutional information.
- Function under the supervision of the Principal and periodically report on website updates and improvements.
Faculty and Staff:
- Ensure that all digital records, including attendance, internal marks, and course materials, are updated accurately and within stipulated deadlines.
- Utilize ETLAB and LOGICS responsibly and maintain the confidentiality of institutional credentials.
- Follow institutional guidelines for secure data handling and ethical digital practices.
- Support the initiatives of the Website Committee and other digital efforts by providing verified content or data when required.
- Encourage students to develop digital literacy and awareness of cybersecurity principles.
Students:
- Access ETLAB regularly using assigned credentials to track attendance, internal marks, assignments, and academic progress.
- Utilize the LOGICS platform for fee payment processing and ensure all financial transactions are completed within the stipulated timelines.
- Maintain digital discipline and use institutional resources responsibly.
- Refrain from sharing login credentials or misusing digital platforms.
- Report any technical issues or discrepancies to the concerned faculty/staff.
- Participate actively in digital learning activities and feedback processes.
Parents:
- Utilize the ETLAB parent login to track the academic progress, attendance, and performance of their wards.
- Encourage students to regularly update and access academic information through digital platforms.
- Maintain confidentiality of credentials and avoid unauthorized access or misuse of institutional systems.
- Communicate with faculty or staff through institutional channels for clarifications or support related to digital records.
- Support institutional initiatives promoting responsible and transparent use of digital platforms.
