ROLES AND RESPONSIBILITIES OF VARIOUS COLLEGE LEVEL COMMITTEES

COLLEGE COUNCIL

  • The Academic Council is the highest academic body of the college and is responsible for laying down, regulating, and maintaining the standards of teaching, research, and examinations in the college.
  • Review and approves academic calendar, value added courses and report submitted by IQAC.
    Review the academic activities of the college.
  • Review and formulate the perspective plan of the college.
    Review the value-added courses for students.
  • Review the faculty development programs.
  • Promote innovation in teaching, sustaining the quality of education and quality improvements initiatives (NAAC & NBA).
  • Ensure that the academic program is consistent with the institute’s mission and is in line with industry requirements.
  • Helps inculcate a culture of research in the student community

INSTITUTIONAL QUALITY ASSURANCE CELL (IQAC)

  • The Prepares work plan for all programs in the institution.
  • Supervises and guides the activities of department level Committees.
  • Act as a mentor body for all department committees and teams.
  • Establishing Mission & Vision for institution and department.
  • Plans various development, delivery and assessment activities of PEOs and POs at the institution level.
  • Prepare an Outcome-Based Assessment Plan (OBAP) with broad structure for the program to assess PEOs and PO attainment.
  • Effective participation of the stakeholders’ process implementation administrators, faculty, alumni, employers, industry experts and current students.
  • Assess the results of internal and external evaluations of students including analysis of performance in tests, exams, assignments projects etc.
  • Assumes responsibility of assessing availability of required resources and needed for achieving PEOs and POs for each program based on the departmental Committee’s recommendations.
  • Present the results to the management for improvements or corrective action. Based on directions/decisions Program Assessment Committee initiate corrective actions in.

INDUSTRY ADVISORY COMMITTEE

  • Participate in at least two (2) meetings per year, virtually or in person.
  • Provide counsel concerning the department’s priorities and goals, serve as a sounding board for the Chair and provide feedback on the contributions of the University in relation to the needs of the industry.
  • Serve as an advocate within their company by championing new initiatives, making the school’s work more widely known, identifying and recruiting board members and providing opportunities for students and faculty such as internships, facility tours and research grants.

RESEARCH AND GUIDANCE COMMITTEE

  • Exploring possibilities of research collaborations, nationally and internationally for long term development.
  • Final assignment of work and fixing linkages and establishing monitoring frame work.
  • Reviewing and monitoring research and development activities in all the four thrust areas so that quality research can be encouraged and slippages can be reduced through pre-established schedules given at the time of allotment of projects.
  • Arranging lectures and seminars periodically to providing academic support and guidance to researchers on the basis of recommendation from Empowered Counseling Committee members.
  • Monitoring quality of dissertations and thesis topics and reports.

ETHICS COMMITTEE

  • Formulate EthFormulate Ethics Policy for LBS ITW, Trivandrum.
  • Report breaches of Ethics Policy or non-compliance of ethical practices among students, faculty and staff to the Principal for taking necessary actions.
  • Recommend actions on non-compliance of ethical practices among students,
    faculty and staff.
  • Propose corrective actions on report of non-adherence to the Policy.

STUDENTS WELFARE COMMITTEE

  • Listening to student’s problems and understanding what is required for their development in any manner.
  • Assisting the students in their learning process which includes not just academics but also the practical learning experience.
  • Conducting periodic meetings to talk over student welfare.
  • Various co curriculum activities, facilitating student interests are organized for personality development of students.
  • Building a true entrepreneur in students and making them fit enough to co ordinate events in both college and inter-college levels.

DISCIPLINARY ACTION COMMITTEE

  • To ensure calm and peaceful academic atmosphere in the campus.
    To avoid physical confrontation among students.
  • To ensure all the students wear ID Cards while they are in the campus.
  • To enforce total prohibition of cell phone usage by the students while the class work is going on
  • To monitor the movement of the students in the college and prevent students loitering around in the corridors during the college working hours.
  • To prevent the students leaving the college early without prior permission from the concerned authorities.
    To prohibited Smoking strictly in the college campus.
  • To maintain proper discipline in the college canteen and student waiting room during the college working hours.
    To assist the college anti-ragging committee in preventing ragging in the College.

GRIEVANCE AND REDRESSAL CELL

  • Addresses genuine problems and complaints of students.
  • Encourages the students to express their grievance without fears.
  • Suggestion Boxes are provided in the campus and grievance records are placed at library and hostels.
  • Based on the complaints, necessary actions are taken in consultation with authorities.
  • Suggestions and complaints of the students are being represented to the authorities immediately for necessary remedial actions.
  • College assures the students that once a complaint is made, it will be treated with confidentiality.
  • Deputes faculty members to identify the areas of conflict amount the students and propagate the strength of unity and collaboration.

  • Conduct of the academic audit as per the schedule provided in the academic calendar.

RESEARCH AND ENHANCED EDUCATION FORUM

  • Seek appropriate linkages and communication with College departments and laboratory schools to strengthen, promote, and support research.
  • Recommend, sponsor, or conduct faculty development activities to enhance research and scholarly productivity within the College.
  • Review University procedures for accessing research resources, and identify practices and procedures likely to enhance access of the College to such resources.
  • Advise the Associate Dean responsible for research and the COEC on matters related to supporting the research and grant activities of the College.
  • Review, rank, and submit recommendations for proposals to be funded under University research grant program(s).
  • Develop guidelines related to the College research grant program(s) for consideration by the Dean.
  • Nominate COE faculty members and graduate students for research award(s) consideration.
  • Submit a fall report  to the COEC with the committee’s plan of work for the academic year.
  • Submit a completed spring report and present it to the COEC prior to the last scheduled meeting of the academic year of the Council.

  • Developing the students to meet the Industries recruitment process
  • To motivate students to develop Technical knowledge and soft skills in terms of career planning, goal setting

ANTI RAGGING COMMITTEE

  • Anti-Ragging committee Student members assist the institution in implementing rigid anti-ragging measures so that the institution becomes ragging-free campus.
  • Institution imparting technical education shall constitute a Committee to be known as the Anti-ragging Committee to be nominated and headed by the Head of the Institution, and consisting of representatives of civil and police administration, local media, Non-Government Organizations involved in youth activities, representatives of faculty members, representatives of parents, representatives of students belonging to the fresher’s category as well as senior students, non-teaching staff and shall have a diverse mix of membership in terms of level as well as gender.
  • Faculty members for monitoring the premises, includes hostels, food court, parking places, different buildings, play grounds, buses etc where students assemble and meet one another.
  • Explains the students about the severity of punishments and the consequences likely to be imposed as per the Government proceedings.
  • Disseminate about anti-ragging in the forms of circulars, flexes, posters and displaying boards and in and around college premises.

PURCHASE COMMITTEE

  • To ensure that equipment / accessories are procured through standard procedure in major & minor purchases of the institution.
  • To prepare the annual procurement plan of the institution.
  • To provide support to the department HoDs/Lab In-charge Faculty members for procurement of goods / services in efficient, economic and transparent manner.
  • To facilitate the management to allocate the required fund.

  • Library has more than eleven thousands of technical documents consisting of text book, CD-ROMS, Audio Visual Educational Cassettes and journals.
  • Online Public Access Catalogue (OPAC) also available.
  • Updating the current information.
  • Encourage more students to participate in this initiative programme.
  • Mentors for various courses to encourage the students.

  • To ensure regular maintenance of the building, equipments and gadgets of the institute.
  • To coordinate with people responsible for the maintenance and mentor the quality and given time frame of the job.
  • To monitor routine maintenance in the institute on daily basis.
  • To monitor routine annual maintenance of the institute and related infrastructure thereof.
  • To monitor and arrange major and minor repairs of laboratory equipment and office accessories.

EXAMINATION CELL

  • Exam coordinator takes the responsibility of submitting the student applications for the exam based on the eligibility list, preparing arrears list, distributing hall tickets and marks sheet. He works with exam cell of the institute to complete the examination process smoothly.
  • Conducts the Internal tests and end semester examinations.
  • Internal Tests: Conducts and monitor the internal exams.
  • Takes care of the internal examination time table preparation, invigilation duties and seating arrangement plan etc.
  • Maintains the records of the examinations like attendance particulars, invigilation
    duties, supporting staff etc.
  • End semester Examinations: Conducts the end semester theory and practical
    examinations.
  • Appoints the internal examiners for conducting the practical examinations.
  • Takes care of the conducting University examination as scheduled by university,
    invigilation duties and seating arrangement plan etc.

EXECUTIVE COMMITTEE OF COLLEGE UNION

  • To train the students of the college in the duties, responsibilities and rights of citizenship.
  • To promote opportunities for the development of character leadership, efficiency, knowledge and spirit of service among the students.
  • To organize debates, seminars, work squad, torus and similar other activities.
  • To encourage sports, arts and other cultural, educational and recreational activities that are incidental and conducive to the above objectives
  • To work for the general welfare of the college and to support every activities proposed by College or University like Student Support and Guidance Programme.

  • Collect the related documents and required fee from the students admitted in the college.
  • Prepare vacancy position list
  • Conduct spot admissions

  • Prepare final list of students branch wise and section wise with roll numbers.

INTERNAL COMPLAINT COMMITTEE

  • To take consistent action for prevention, prohibition and redressal of complaints received regarding sexual harassment and gender discrimination of women personnel at the workplace.
  • Make recommendations to the management to lay down procedures for the prohibition, resolution, settlement and prosecution of acts of discrimination and sexual harassment, by the students and the employees.
  • Deal with cases of discrimination and sexual harassment against women, in a time bound manner, aiming at ensuring support services to the victimized and termination of the harassment.
  • Recommend appropriate punitive action against the guilty party to the Management.

SC/ST COMMITTEE

  • SC/ST Committee looks into the complaints and grievances of SC/ST employee and students.
  • The committee provides information about the scholarship and resolves any problems faced by the SC/ST students and employees.
  • Encourages the students to express their grievance without fears.

DEPARTMENT QUALITY ASSURANCE CELL (DQAC)

  • To organize an interactive session with faculty members following the guidelines given by College Academic Council, Institute Internal Quality Assurance Cell (IQAC) and Departmental Advisory Board (DAB) to strengthen the Teaching Learning process.
  • Preparation and release of guidelines regarding all Academic activities before the commencement of Semester.
  • Ensure collection of teaching outcome feedback (course assessment) from students at the end of the semester.
  • Ensure collection of exit feedback from final year students at the end of the academic year.
  • To help the Department in monitoring tutorials, assignments, seminars, remedial classes, make up tests, scrutiny of internal exam question papers and regular verification of course files.
  • Monitor regular conduction of class committee, course committee and PTA meetings.
  • To prepare various rubrics regarding feedback from students and stakeholders, examination result, course assessment, placement etc. and provide various statistical inputs to DAB at the beginning of each semester to chalk out the policy for that semester.
  • To verify the recommendations given by Program Assessment Committee and provide suggestions.
  • Collection and compilation of self-appraisal forms from faculty members at the end of academic year.
  • To conduct the meeting of faculty coordinators for various academic tasks to discuss the plan of action for their respective responsibilities.

  • Monitoring the achievements of Program Outcomes (POs), Program Specific Outcomes (PSO), Program Educational Objectives (PEOs) and plan the steps required to achieve POs, PSOs and PEOs.
  • Interacting with stakeholders, DQAC, DAB and students regarding the improvement of POs, PSOs and PEOs.
  • Evaluating program effectiveness and proposing necessary changes.
  • Preparing periodic reports on program activities, progress, status or other special reports for Management.
  • Motivating the faculty and students towards attending workshops, developing projects, working models, paper publications and engaging in research activities.

  • Redefine existing PEO’s, aligning of PEO’s to the mission statements and defining program specific outcomes.

  • To propose action plan for skill development of students, required for entrepreneurship development and quality improvement.
  • To identify and suggest thrust areas to conduct various activities including internships, projects, training courses and additional experiments to meet PEOs.

  • Make recommendations to help assure that the program addresses the employment and educational needs of business, industry, labor, and/or the profession.
  • Realistically assess the labor market demand for program graduates.
    Advise the program to ensure students graduate with the skills employers need.
  • Identify and present opportunities and/or host opportunities for student capstone projects or experiences.
  • Assist with placement of program graduates.
  • Assess the currency of curriculum and teaching practices.
  • Serve as an advocate of the program and a communication link between the host institutions and the community.
  • Provide feedback, advice, and/or assistance with a variety of program-driven tasks and/or projects.
    Assist with program marketing and promotion.
  • Assist in the identification and recruitment of new board members.
  • Assist in identification and acquisition (when appropriate) of external funding and resources to support the students and program (scholarships, program materials, and other resources).
  • Provide recommendations on topic presenters for advisory board meetings.

  • Discuss problems concerned with curriculum and syllabus, conduct of classes and non-academic issues concerned with students.

  • Attend at least meeting per semester.
  • Represent concerns of the student body at meetings.
  • Communicate curricular, extracurricular and noteworthy components of experiences to fellow student council members and to the Dean. Topics may include, but are not limited to: academic programs (including new and existing programs), studentlearning outcomes, study abroad and research opportunities.
  • Monitoring the programs of internal reviews of learning and teaching.
  • Advise on priorities, directions, and new frontiers for education, research, and outreach.
  • Suggest strategies that might be employed to achieve the College’s goals.
  • Offer guidance to the College on existing and proposed academic programs and research.
  • Propose ways to maintain strong relations with the community and to establish effective institutional partnership.
  • Help in sustaining and enhancing the national reputation of the College.
  • Provide feedback to the College on the status of alumni in the job market.
  • Recommend ways to improve and develop the training, and skills programs offered by the college.
  • Provide a connection to potential internships/training opportunities for students, employment opportunities for graduates, and to potential research and service opportunities for the faculty.
